What to include on a freelance invoice
Every freelance invoice template should contain these fields. Missing even one can delay approval or trigger a payment hold.
Header and identification
- Your name or business name, address, and contact details
- Client billing name, address, and contact
- Invoice number (unique, sequential)
- Issue date and due date
- Project or contract reference, such as a purchase order or scope of work
Line items and pricing
- Description of each service or deliverable
- Rates and units (hourly, daily, or flat fee)
- Quantity
- Line total for each item
Totals and terms
- Subtotal before tax
- Taxes and your tax ID or VAT ID (check local rules)
- Deposit received, if any, and the running balance
- Total amount due
- Payment due date, payment options, preferred payment method, and late fee terms
Line items: what freelancers can (and should) bill
Most freelancers undercount their billable work. The template handles three main categories: consultation, project-related expenses, and the finished project, plus sales tax if applicable.
Within those categories, billable items can include discovery and scoping sessions, research, core deliverables, project management, client meetings, revisions beyond scope, rush or after-hours surcharges, travel, usage license fees, and physical materials.
Two rules for expenses: enter each expense as a separate line item with a description and unit price, and keep your receipts in case the client asks to see them.
Do not lump expenses into a single “Materials” line. Itemizing builds trust and prevents the back-and-forth that delays payment.
How to invoice as a freelancer: step by step
The invoicing process has five stages. The invoice template handles step four, but the other steps determine whether that invoice gets paid on time.
- Confirm scope, rates, timeline, and who signs off. Get this in writing before starting work. Your invoice references this agreement.
- Request a kickoff deposit and send a deposit invoice. This protects you on larger projects and gives the client a clear record.
- Track time, deliverables, and approved expenses while you work. Your logs become the line items on the final invoice.
- At each milestone or at handoff, build the invoice from your logs and receipts. Fill in the template with actual tracked data, not estimates.
- Apply the deposit to the final bill, add taxes and terms, send, and follow up. Double-check the totals before sending. A wrong number erodes confidence.
Common freelance invoicing mistakes
Three errors cause most payment delays.
Bundling labor and expenses together.
This confuses rates, hides costs, and invites pushback. A client who sees “Project work + expenses: $3,200” has questions. A client who sees six itemized lines does not.
Leaving out dates of service.
Missing service dates delay approvals and can trigger payment holds, especially with larger companies where AP teams cross-reference delivery dates against contracts.
Reusing invoice numbers.
Use a consistent numbering system and never reuse numbers. Duplicate numbers create confusion in both your records and your client's. Include the invoice number in email subject lines so it is searchable later.
